How to use a daily planner
A planner is only useful if it’s simple enough to use every day. This routine takes about five minutes:
- Fill it in the night before. Your mind will be clearer, and you’ll start the morning already knowing what to do first.
- Write three priorities, not ten. If you accomplish those three, you’ve had a good day. Add everything else to your to-do list.
- Prioritize the rest. In the hourly layout, the “Must Do” / “Should Do” / “Could Do” boxes make it quick: anything in “Could Do” can be moved to tomorrow without feeling guilty.
- Close the day. Check off what you completed, write a note or highlight it, and carry unfinished tasks to the next page.
Some people with ADHD find that a one-page daily plan with time slots makes the day easier to see at a glance. If that sounds like you, the minimalist or hourly template keeps visual clutter low.
Printing and digital use
- A4 or US Letter: choose A4 in Europe and most of the world, and US Letter in the United States and Canada. Each file is preformatted, so print at 100% / actual size.
- A5 or a smaller planner: apart from the classic template, print the A4 PDF with “Fit to Page” on A5 paper, or use “Two Pages per Sheet” and cut the paper in half.
- On a tablet: import the PDF into GoodNotes, Notability, or any other PDF app, and write on it using a stylus. The JPG works as a background in note apps too.
- Ink: the simple templates and hourly templates use the least ink if you print a lot of pages.
Would you also like to keep a broader view of your time? Pair your daily page with a free monthly planner, track your daily routine with a daily habit tracker, or keep work tasks separate with a to-do list for work.
FAQ
Are these daily planner templates really free?
Yes. All six templates are free to download and print for personal use, in PDF and JPG, with no account or email required.
What is the difference between a daily planner and a to-do list?
A to-do list only says what you need to do. A daily planner also says when: it adds time slots, priorities and space for notes, so you can see the whole day on one page. If you just need a list, a minimalist to-do list is enough.
Which daily planner has hourly time slots?
All six do. The hourly template covers 6 AM to 10 PM with a Done checkbox, the mood and water tracker covers 6 AM to 8 PM, the minimalist one starts at 8:00, and the others run from 6:00 to midnight.
Can I fill in the daily planner on my iPad or phone?
Yes. Download the PDF and open it in an annotation app such as GoodNotes or Notability, then write with your stylus. You can duplicate the page as many times as you need.
What size should I print the daily planner?
Use A4 if you live in Britain, Australia, India, or elsewhere, and Letter size if you’re in the United States or Canada.
